Location Sharing

Send a single location to someone, what they see, and how it differs from sharing a project

Sometimes the question is about one place rather than a shortlist. A safety coordinator needs to look at the stairwell, an art director wants an opinion on the kitchen, a producer asks what that warehouse costs. Sharing a single location keeps the conversation on that one thing.

Sending one

  1. Open the location
  2. Click Share
  3. Enter the email address
  4. Add a note saying what you want to know, which is the difference between a reply and silence
  5. Set an expiry if the recipient is outside your team
  6. Send

The recipient gets a link. They do not need a LocoBase account to open it.

What they see, and the important difference from project shares

A location share shows the whole location: every photo, the full address, the rate, the description, and your operational notes.

There are no roles and no field-level controls on a location share, unlike a project share where Creative Team sees photos but not rates or addresses. It is all or nothing.

So before you send one, read your own notes on it. Owner phone numbers, what the last production paid, and your opinion of the caretaker all travel with the location. If any of that should not reach this person, share the project view instead, with a role that hides it. See Share Projects with Your Team.

Expiry and revoking

An expiry is optional and worth setting for anyone outside your team. Shares can be revoked individually at any point.

As with project links, anyone the link is forwarded to can also open it until it expires or you revoke it.

Referrals

If someone you shared with creates an account, the referral reward lands for both of you: 5 locations, 50 image reads, and 1 project each, once they create their first location. That is a side effect of normal work rather than something to chase. See Referrals and the Expert Advisor Program.

Before sending a location outside your production

Two things worth a thought, because a location record contains other people's information as well as yours:

The owner did not agree to be marketed. Their address and phone number are in your record because they let you scout, which is not the same as agreeing to appear in a package that gets forwarded around. For anyone outside the production, consider whether the address needs to be in the version you send.

Rates you were quoted are often confidential. A favourable rate from a regular contact tends to stop being favourable once it circulates.

Nothing in the app stops you doing either. It is worth deciding deliberately rather than by default.
