Exporting Locations to Excel or CSV

Pull a project's locations into a spreadsheet with the columns you choose, in the order you want them, for the production office

Production offices run on spreadsheets. However good a shared link is, at some point the UPM wants a file they can put in a folder, and the accountant wants rates in a column they can sum.

Making an export

  1. Open the project and click the download icon in the header.
  2. Pick Excel or CSV.
  3. Choose which columns to include.
  4. Drag the columns into the order you want.
  5. Check the preview, then download.

The preview shows real rows from the project, so a column you were unsure about is easy to judge before you send the file.

Choosing columns

Everything the location holds is available: name, address, day rate, contact details, tags, environment, distances from the production office, notes. Turn off what nobody reads. A locations list with eight useful columns gets used; one with thirty gets exported to a second spreadsheet by hand.

Your column choice and order are saved per project. Come back next week, or export a different cut of the same project, and it opens the way you left it.

Excel or CSV

Excel keeps a link back to each location in LocoBase, so anyone with access can click through from the spreadsheet to the photos and the full record. That column is always included in an Excel export.

CSV is the plain option. Use it when the file is going into another system, a budget template, or a script that expects clean text.

Exporting a shortlist

The same scout and final filters from the project apply here. Exporting only final selects gives the production office the locked list without the fifty options you considered. Exporting scout picks gives a call sheet's worth of addresses before a scout day.

What the file will not include

Photos do not travel in the spreadsheet. An Excel export links back to them, and a CSV has the addresses and names but no images. When someone needs to see the places rather than read about them, send a share link instead. See Share Projects with Your Team.
